THE CLEANPAD FIELD GUIDE / 03
Vacation rental final inspection checklistFinished cleaning.
Ready for a final look.
A final walk-through is a separate decision. Read the remaining issues and supply gaps before recording the host’s review.
Review a turnover handoff →Understand the four handoff states
- Blocked for handoff: an unresolved blocking issue or known essential supply shortage exists.
- Needs review: tasks, other issues, supply counts, shortages or required schedule details still need attention.
- Awaiting host confirmation: the recorded checks are clear, but no separate host confirmation has been recorded.
- Host confirmed: a reviewer entered a name and time and explicitly confirmed that exact version of the turnover. Editing the turnover requires another review.
An example turnover remains labelled as an example and cannot record a real host confirmation.
Close an issue in two steps
First assign a responsible person and describe the resolution, then mark it fixed. Reopen the issue to enter who reviewed the fix and explicitly verify it. An unfinished lock or access issue must not be dismissed by ticking the cleaning task. Issues in a room removed from the current layout remain visible in the handoff.
Walk through the property
- Test the access arrangements relevant to the next stay and check doors and windows.
- Confirm each required room was checked and any property-specific instructions were followed.
- Verify that essential supplies have been counted and known gaps replenished.
- Review maintenance notes and the actual resolution rather than relying on a completion percentage.
- Record the reviewer and the local review time. Keep the log with your own turnover records.
Run guest-ready function checks
Cleaning can be finished while something the guest needs on arrival still does not work. Before the final review, check the things a guest will try first:
- Connect to the Wi-Fi and check that the network name and password on the welcome card are still correct.
- Reset or confirm the door code for the next booking, and test the lock.
- Press the test button on smoke and carbon monoxide alarms.
- Run hot water and check every tap, shower and toilet.
- Replace dead bulbs and the batteries in remotes or a keypad lock.
- Do a smell check from the front door, the way a guest arrives.
Turn on Guest-ready checks in the workspace setup to add these as their own section before the final inspection. A failed check can be logged as an issue with an owner, like any other task.
Damage found at the turnover
Damage is not a cleaning issue with a different label. On Airbnb it has its own process and a deadline of 14 days from the guest’s checkout; the damage claim guide explains what to record and when.
What the record can and cannot show
This is a self-recorded workflow, not an authenticated signature or independent safety inspection. It cannot verify that a person visited the property, that a photograph was taken or that a physical defect was repaired. Adapt the checklist to your property and use qualified help for work that requires it.
Share a useful handoff
Print the current log to include open issues, stock counts and review details. The CSV carries fields for the schedule, issue owner, resolution and verification. Use JSON for a restorable backup, and share files yourself when working with another person. Cleanpad does not notify cleaners or synchronize their devices.
See the cleaning checklist and restock guide for the earlier steps.
